GENERAL TERMS FOR CONFERENCE

All participants of conferences organized by the International Institute for Academic development (IIACD) must pay the registration fee prior to arrival at the conference venue.

Registration fee

As a rule, the conference full registration fee includes participation in the program, lunch/coffee breaks conference badge, conference bag, conference programme, conference proceeding certificate, an invoice of the registration fee. Detailed list of services included in the particular types of conference registration are available on the conference website. Participants of the conferences have to check conference fee on the conference website, select relevant conference registration and make a registration following deadlines.

Some definitions on registration fee

The first author in the paper pays a full registration fee, while the second and subsequent pays a “Co-Author” fee.

If the first author is not able to attend the conference, the second author or subsequent author has to pay a full registration fee (not “Co-Author” fee).

In a paper with more than one author, both authors cannot register as “Co-Authors”.

A Co-Author cannot and should not register as an “Accompanying person (without bag)”.

An “Accompanying person” does not submit or be part of the Co-Authors of a paper.

A Participant is an attendee that does not submit or present a paper, but attends sessions.

Authors II (without publication) – is a person who submitted a paper for presentation at the conference, will attend the conference and present the paper, but do not need publication of paper in the conference proceedings of journal.

Young researchers are doctors, PhD students, postdoctoral researchers or young faculty members under 35 years of age. To be considered for this category, please attach a proof of identity, such as a copy of an ID card or passport, that clearly indicates your birth date.

Young Researcher II (without publication) – is a person who submitted a paper for presentation at the conference, will attend the conference and present the paper, but do not need publication of paper in the conference proceedings of journal.

Virtual presenter – not attending author who is not able to attend the IACSS 2015 in person and can register as a “virtual presenter”.

Workshop organizer is a person who submitted a workshop proposal and registered as an organizer of the workshop. All other members of workshop have to select relevant conference fee and register individually.

Special session organizer – is a person who submitted a special session proposal and registered as an organizer of the session. All other members of the special session have to select relevant conference fee and register individually.

Registration for Publication – is submission of restricted number of papers for publication in the conference proceedings if authors are not able to attend the conference or make a virtual presentation.


Payment

Payment of all fees must be made in full and in cleared funds according deadlines will be announced on the conference website. As a rule, two types of deadline for registration are available for participants: early bird registration deadline and late registration deadline. If participant is not register until early bird registration, he/she has to register for late registration and registration fee is high then during early bird registration deadline. Payment for the conferences organized by IIACD can be made using one of the following methods: 

Online payment – Registration to the Conference must be done through the online registration system provided on the conference website. Participants will receive an automatic confirmation of the registration details. If participants do not obtain anything, they must send an email to info@academicinst.com to make sure that the Organizer has received booking. Registration will only be effective on receipt of the registration fee or after authorization of credit card payment. Participants must notify any corrections to their registration immediately.  

Bank transfer – Participants could pay registration fee using bank transfer method. Before payment, participants have to register online using online registration system linked on the conference website. After completing of registration, participant will be able to print invoice includes all bank details of IIACD. Using the invoice provided by the online registration system, participant should transfer registration fee directly to the IIACD bank account mentioned in invoice.

Following the transferring of registration fee, participant has to notify conference organizer to email account (noted on the conference website) immediately as soon as bank transfer has been carried out. Participant must be sure that his/her name is clearly indicated as well as the title of the event. Delegate must send a receipt of payment in scanned form no later date mentioned on the conference website. Registration will be valid only after the Conference Secretary verifies the amount transferred and confirms to participant in writing. Participant cannot deduct any money transfer fee from the registration fee and if participants do this, registration will remain incomplete until payment of the full amount of registration fee.

Registration name change

A handling fee of EUR 50 will be charged for every name change to an existing conference registration. Name changes will be accepted by email indicating the old and new names including the required contact details until until deadline provided on the conference website. After deadline, all name changes must be carried out on-site.

Discount

Individuals from the same University, Institute or other scientific organization have an opportunity to receive a group discount rate of conference registration fee. There are three categories of discounts: 10% Discount rate for 5-7 people, 12% Discount rate for 7-10 people and 15% Discount rate for more than 10 people. Individuals from the same University, Institute or other scientific organization should make a group registration using online registration system provided on the conference website.

Workshop/session organizer will be granted 50 % discount fee (if there are at least 10 registration in their workshop/session for 1 workshop organizer and 15 registration for 2 workshop/session organizer) etc

Cancellation Policy

Registration cancellations must be notified in writing by email (provided on the conference website) to the IIACD or using online conference registration system. Any cancellation after conference registration will take 50% of registration fee as administrative charges. No cancellation will be allowed after the late registration deadline. Participants must make sure they receive an acknowledgement of their cancellation from IIACD. Only this will confirm that their request has been received and processed.

Cancellation of the Conference

In the event that the conference cannot be held or is postponed due to events beyond the control of the conference organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the conference organizers, the conference organizers cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, accommodation costs, financial losses, etc.

Under these circumstances, the conference organizers reserve the right to either retain the entire registration fee and to use it for a future conference, or to reimburse the attendee after deducting costs already incurred for the organization of the conference and which could not be recovered from third parties.

Modification of Programme

The IIACD reserves the right to make alterations to the programme, date and/or venue at any time without prior notice.

Sponsorship

IIACD seeks sponsorships for its conferences. There are limited sponsorship opportunities available and companies are kindly asked to register for sponsorship using online registration system provided on the conference website. There are usually three different sponsorship packages available: Platinum, Gold and Silver. There are also some different individual sponsorship packages. All sponsorship packages include benefits for sponsors provided on the conference website.

Liability

The liability of the conference organizers – for whatever legal reason – shall be limited to intent and gross negligence. The liability of commissioned service providers shall remain unaffected by this. The attendee shall take part in the conference at his/her own risk. Oral agreements shall not be binding if these have not been confirmed in writing by the conference organizers.

Non Discrimination Policy

The IIACD will use its reasonable endeavours to comply with legislation applicable in relation to discrimination on any grounds. Accordingly, the IIACD is committed to providing equality of opportunity and fair treatment for all. The IIACD will not intentionally discriminate on the basis of gender, age, marital status, sexual orientation, ethnic origin, religion, culture or disability in dealing with the delegates.

Data Protection

The information given to the IIACD by the delegates will be recorded in the organizer’s databases and will be used for marketing, administration and promotional purposes. IIACD may also share this information with its event sponsors in order for them to contact the delegates about other products and services which may be of interest to the delegates. IIACD may also share this information with providers of services relating to the event (e.g. venues and hotels) for purposes of fulfilling your booking. If you do not wish to receive further correspondence from IIACD which does not relate to the event then please email info@academicinst.com

IIACD is not responsible for the acts or omissions of any third party to whom it is entitled to pass delegates’ information under this section. Unless the IIACD receives an explicit written request in advance from a delegate confirming that they do not want to share their contact information, a list of all delegates, their affiliation institutions and email addresses may be included in the delegate packs and on lists of delegates.

You acknowledge that the IIACD and/or its representatives and/or any delegate and/or attendee at the event may take photographs and/or video footage of all or part of it. IIACD may then include any of these photographs and/or video footage on any of its websites and/or other promotional materials at its discretion unless it receives an explicit written request from you confirming that you do not want IIACD to use any images identifying you.

Letter of Confirmation/Payment Receipt

A letter of confirmation/payment receipt will be sent by email once the IIACD has received the fully completed registration and the related payment. Delegates must present this confirmation/payment receipt at the registration counter as proof of their registration and payment.

Letter of Invitation

Individuals requiring an official Letter of Invitation can request one from the IIACD. To receive a Letter of Invitation, delegate must first register to the conference and submit a full payment. Letters of Invitation will not be sent after the registration deadlines.The Letter of Invitation does not financially obligate the conference organizer in any way. All expenses incurred in relation to the conference are the sole responsibility of the delegate.

Visa Requirements

It is the sole responsibility of the delegate to take care of his/her visa requirements. Delegates who require an entry visa must allow sufficient time for the application procedure. Delegate should contact the nearest embassy or consulate to determine the appropriate timing of their visa applications.The conference organizer will not directly contact embassies and consulates on behalf of visa applicants.

Accommodation and travel

Accommodation and travel are not included in the conference registration fee and participants are responsible on booking their accommodation and travel. IIACD will only offer different types of accommodation at the conference city and provide consultations to participants during a booking process.

Event Documentation

You will be provided with conference documentation and equipment during registration at the conference hotel.

Conference Directory

Unless you state otherwise at the time of registration, we will display your name and details in our directory of conference delegates.

Age limitation

Delegates of conferences must be 18 years of age to attend conference, and all related events including the welcome reception and post conference tour.  Requests for any exception to this term must be made in writing to conference organizer.

Websites & Links

The IIACD website, conference websites may link to other websites and networking tools provided for the convenience of the users. The contents of these websites are maintained by their owners, for which IIACD takes no responsibility. Neither can responsibility be taken for contents of any website linking to this website.

Insurance

It is the responsibility of the delegate to arrange appropriate insurance cover in connection with their attendance at the conference. IIACD cannot be held liable for any loss, liability or damage to personal property.

Speakers Terms & Conditions

IIACD may use the speaker’s name and affiliation for promoting delegate attendance at the conference. Presentations given to the IIACD team will be permanently deleted from any IIACD computers or storage devices upon completion of the presentation. Any copies taken for backup purposes will also be deleted and shall not be distributed to third parties without express consent from the authors.

Disputes

In the event of a dispute arising out of or in connection with these terms or any contract between you and us, then you agree to attempt to settle the dispute by engaging in good faith with us in a process of mediation before commencing arbitration or litigation.

Provisions

We will generally communicate with you by email or via phone. You agree that email and phone communications are contractually binding in the same way as properly signed and dated documentation sent by post.

Nothing in this agreement or on our websites, www.academicinst.com or any website owned, operated, licensed or controlled by IIACD, shall confer on any third party any benefit or obligation.

IIACD is not liable for any breach of our obligations resulting from causes beyond our reasonable control.

You are deemed to have accepted these terms and conditions when you proceed with the registration process.
